Automated coordination

Every request arrives with its plan

The right workflow, the right linguists, at the right time: Broca prepares the plan for every request before the manager even opens it, and explains each of its choices. You approve, adjust, or let Broca apply it.

The problem

Coordination is the bottleneck

Every request raises the same questions: which process, who is qualified, who is free, who knows this client? Answered by hand, they cost your managers hours every day.

Who is actually available?

Working hours, time zones, vacations and work already in progress: the information exists, but it is scattered.

Who knows this client?

The linguist who translated the client’s previous documents is often the best choice, if only someone remembers.

Will the deadline hold?

Too often, you only find out halfway through that a plan was never feasible.

How it works

From upload to plan, in seconds

1. Reading the request

Languages, volume, deadline, priority, file types and the client’s own rules: Broca starts from everything the request contains.

2. Choosing the workflow

A rule engine picks the right template: translation only, translation and revision, expedited handling, in-house or external resources.

3. Checking it can be staffed

Broca only proposes a workflow if a qualified person exists for every language and every role. A proposed plan is a plan you can deliver.

4. Choosing the linguists

Language, role and domain first; then priority to those who already know similar documents for this client. Urgent: the fastest. Otherwise: the least loaded.

5. Placing it in calendars

Each step is placed backward from the deadline, within each person’s real working hours, around vacations and work in progress.

6. A plan that explains itself

Every choice comes with its reason, in plain language. The manager approves or adjusts; for simple, recurring requests, Broca can apply the plan on its own.

Transparency

Every choice is explained

No black box: for every step, Broca states why it picked this workflow, this person and this time slot. Your managers stay in control and can justify every assignment.

  • A written reason next to every assignment.
  • A plan to approve, adjust or apply automatically.
  • If the deadline can’t be met, Broca says so before it’s too late.

Scheduling

Everyone’s real calendar, to the quarter hour

Broca keeps a real working calendar for every linguist: weekly hours, time zone, leave and absences, and every task already assigned. So it knows who can finish what, and when.

  • Working hours, time zones, vacations and absences.
  • All work in progress, with remaining hours.
  • A fifteen-minute grid, from a handful of linguists to several hundred.

Your rules

Configured for each client

Preferred providers

Limit a client to its list of dedicated linguists.

In-house or external

Exclude external providers for clients that require it.

Translator ≠ reviewer

Guarantee that someone else always revises the translation.

Thresholds and urgency

The volume above which revision is required, keywords that flag urgency.

Supervised juniors

Junior linguists are only assigned to workflows that include a revision step.

Memory first

Files that feed the most repetitions go first, so the following ones benefit.

Rules first, AI optional

Predictable by default

Coordination runs on deterministic rules: the same case always yields the same plan, with no AI model involved. For ambiguous cases, an AI-assisted mode can be enabled per client; it works from the same data and produces a plan of the same shape, which you approve the same way.

Questions about coordination

Does the manager lose control?

No. Broca proposes; the manager approves, adjusts or rejects. Automatic application is only used where you turn it on, typically for simple, recurring requests.

What if nobody is available in time?

Broca flags it instead of proposing a plan that can’t be delivered, and the manager can choose another approach: negotiate the deadline, split the work or bring in an external provider.

Do we have to enter everyone’s calendar?

Each linguist has working hours and leave in Broca; work in progress is already known to the platform. There is nothing to keep up to date twice.
